Service Awards are calculated based on the dates of the Faculty and Staff Cookout which is held during Employee Appreciation Week. Dates used this year are May 8, 2021 to May 10, 2022. Service awards are recognized for 10, 20, 25, 30, 35, 40, 45, and 50 years of service. Service is defined by all permanent appointments held within UW System. Temporary and student appointments are not counted towards years of service.

Non-Instructional Academic Staff & Limited Employee Performance Evaluation Calendar Transition

In accordance with SYS 1254, Performance Management all employees are expected to have a performance evaluation conducted annually. University Staff, Faculty and Instructional Academic Staff annual evaluations are generally completed in January/February of each year, while historically Non-instructional Academic Staff and Limited employee evaluations have been completed in July/August.

In an effort to create a more consistent review period across employee classifications and support future technology enhancements in the performance evaluation process for non-instructional staff, Cabinet has approved a change in calendar for Non-Instructional Academic Staff and Limited evaluations. Non-Instructional Academic Staff and Limited evaluations will now be based upon a calendar year review period and will be conducted annually in January/February.

To facilitate this transition in calendar, Non-Instructional Academic Staff & Limited employees will not be expected to complete annual performance evaluations during this coming July/August. However, supervisors will be strongly encouraged to schedule a touch-point to informally discuss performance and goals with their employees. The next round of annual evaluations for this employee group will be due in late winter of 2023 and will be based upon a review period of July 1, 2021 – December 31, 2022. After this transition year, annual evaluations will be conducted consistent with a 12-month calendar year review period.

This change in evaluation schedule will not impact six-month evaluations for new Non-Instructional Academic Staff and Limited employees. Timely individual notifications will continue to be provided to supervisors for employees required to have a six-month evaluation.

Over the next several months, the Office of Human Resources in collaboration with shared governance committees will be reviewing the current non-instructional performance evaluation process to identify updates that will streamline processes and better align with the positions descriptions developed this year as part of the Title & Total Compensation Project.

Updated Employee Handbook for Academic and University Staff Employees

In an effort to ensure that the Employee Handbook remains up-to-date, Human Resources has consulted with Academic and University Staff Governance representatives to document needed revisions to the Employee Handbook for Academic and University Staff Employees. Prior to this, the most recent update to the Handbook occurred in early 2019. Updates included revising links for UW System policies, aligning handbook language with previously-communicated UW System and UW-Green Bay policy and process changes, and ensuring that the handbook aligns with recent projects such as T&TC and biweekly payroll.

As a reminder, the UW-Green Bay Employee Handbook for Academic and University Staff contains helpful information for all University Staff and Academic Staff employees, including referential policies, campus information, and various resources. Employees are encouraged to review the information contained within this handbook. Acknowledgements are only required of new employees, so there is no further action needed by employees at this time. 

Tornado and Severe Weather Awareness Week

Our partners at Wisconsin Emergency Management would like to announce Tornado and Severe Weather Awareness Week in Wisconsin will take place April 4-8 this year. This annual campaign encourages everyone in Wisconsin to prepare for the tornadoes and severe storms in the state that may develop during the spring and summer months.    Here is a reminder of our actions here on our campuses for tornadoes:

  • Monitor weather conditions.

Tornado Warning

  • Evacuate to lowest level, interior room or hall.
  • Stay away from window, glass, large open areas.
  • Protect your head and face; get under a sturdy surface or structure.
  • Monitor weather by radio or weather alert radio.

2021 Outside Activities Reports (OARs) – Access for online completion begins April 4, 2022

Each year, all faculty, academic staff, and limited appointees with appointments of half-­time or more are responsible for reporting Outside Activities (according to Board of Regent and UW System guidelines, UWS Chapter 8.025, and the Wisconsin Administrative Code).

Additionally, we ask University Staff to read the Code of Conduct (RPD 20-22) and all employees to read the policy on Employee Relationships with Educational Loan Lenders RPD 13-4.

Similar to last year, requests and notices will come to employees from UW-Shared Services (UWSystemHR@uwss.wisconsin.edu), and eligible employees will submit their OAR form online through their My UW Portal.

On or around April 4, all employees required to submit an Outside Activity Report (OAR) will receive a message from UW System with instructions to complete the OAR. The OAR will need to be completed by the employee and approved by the supervisor. Following the initial notice, employees will receive reminders throughout the month.

Records Review – Boxes Needed

As the Tri-Annual Confidential Destruction process is just ahead on April 20 and April 27th, many departments are busy reviewing files.  This means that there are many records ready to be destroyed based on a Record Schedule – AND – we don’t have enough boxes.  As these records will be shredded, we won’t be purchasing new boxes so are looking to find some before they go to recycle.  If you have any extra boxes from paper, shipping, miscellaneous in your area, please don’t recycle – contact Sandi Maine-Delepierre at maines@uwgb.edu or 920-465-2781.   Sandi can coordinate getting your extra’s to those who need them.
