HR Coordinator (Project Appointment)

ESSENTIAL JOB FUNCTIONS:

The UW-Green Bay Office of Human Resources and Workforce Diversity is recruiting for an approximately 18-month, full-time HR Coordinator. This position will serve as a critical HR team member during the upcoming transition to Workday, which will replace our current Human Resources System (HRS).

The HR Coordinator will directly report to the Senior HR/AA Officer with dotted line responsibilities to other leaders within the Office of Human Resources and Workforce Diversity. This position will create and maintain human resources (HR) records, coordinate logistics for one or many HR functions, and process various HR specific transactions to ensure compliance with established rules and regulations. Specifically, this position will be responsible for coordinating full-scope recruitments for select departments, data entry in HRS/Workday, support for records management functions, facilitation of training/process identification for select Workday modules, and directed project support for the Workday transition.

Upward Bound Program Coordinator & Student Advisor (2 Vacancies)

This position reports to the Upward Bound Director and assists with planning and delivering of pre-college program activities, strengthens partnerships, ensures adherence to policies, and assists with program administration to establish effective relationships between the university, partners and communities.

UW Green Bay’s Upward Bound programs serve high school students to enhance academic success, college readiness and completion. The program provides opportunities for participants to learn skills to help them succeed in their precollege performance and pursue higher education. Upward Bound serves students from low-income families and those who would be the first in their family to earn a bachelor’s degree (first-gen.).

The Program Advisor works closely with high school students in Green Bay Area Public Schools to provide ongoing guidance, support and resources in order to increase completion of secondary education and enroll in and graduate from institutions of higher education. The Upward Bound Program Advisor also works closely with the Upward Bound Director to facilitate student involvement and create detailed reports and monitor budget activities. The advisor performs program activities including student recruitment, direct student service, development and facilitation of programs and partners with school district staff to engage with students. This position calls for a highly organized, flexible and self-directed individual with excellent communication skills.

Video & Media Specialist (Temporary)

The Video and Media Specialist is a member of the Office of Marketing and University Communication and reports to the Campus Photographer and Videographer. While this position is designed for full-time, a part-time option would be considered based on applicant skillset and availability. This role supports the University’s intentional effort to accelerate the rate at which the university collects and amplifies content to communicate and further increase student engagement and enrollment.

The Office of Marketing and University Communication brings UW-Green Bay’s story to life in creative and compelling ways, honoring brand identity and standards, and at the same time, assuring communications effectively speak to variying target audiences. Utilizing a strategic mix of traditional and emerging marketing and communication channels, the team utilizes an integrated approach that considers both marketing and communication strategies, while collaborating with University and community subject matter experts to highlight UW-Green Bay students, faculty, staff, alumni and academic programs that are on the rise and making a difference in our region.

Admissions & Recruitment Coordinator II

This position reports to the Assistant Director of Admissions and serves as a key member of the recruitment and enrollment team. The individual represents the institution and is responsible for building positive, professional relationships with prospective students with a goal of attracting, admitting, and enrolling a talented, diverse student body. This team member will meet regularly with prospective/admitted students and their supporters and is expected to effectively communicate the benefits of a UWGB experience. This individual will plan, develop, coordinate, manage, and execute the recruitment and admissions process in alignment with the institution’s strategic goals. The Adminssions & Recruitment Coordinator will conduct high school visits in Southeast Wisconsin meeting with prospective students, their parents, and high school staff. Extensive travel in Southeast Wisconsin is expected throughout the year, especially during the fall and spring recruitment seasons.

This position requires excellent project and time management skills, with the ability to prioritize multiple tasks. Accuracy, attention to detail, follow-through, and reliability are extremely important in this position.

Academic Success Coach

This position reports to the Learning Center Manager and provides supplemental instruction for students enrolled in classroom, online, and/or laboratory course(s), and assists with the design and execution of administrative functions associated with academic instruction and the development of pedagogy/andragogy or assessment tools and resources to support quality student learning and promote high-impact practices.

The main responsibility of the position is to assist students in achieving their educational goals and to provide opportunities for them to enhance their academic, and personal development. The Academic Success Coach assists students with creating goal-oriented action plans to build academic skills and improve time management and productivity, as well as creating an individualized plan to help them reach their goals, through improving time management skills, and teaching effective study habits.

Leadership Green Bay Sponsorship for 2023-2024

Each year, the University sponsors one employee to participate in the Leadership Green Bay program.  This program was established in 1983 by the Green Bay Area Chamber of Commerce and offers select individuals the unique opportunity to develop leadership skills while enhancing the well-being of the Green Bay area. Program goals include enhancing the participant’s knowledge of the Green Bay community; obtaining a greater awareness of issues that face the Green Bay area; enhancing leadership skills; and making an impact on the Green Bay Community.

The cohort of professionals gather once a month October through May (following an overnight retreat in September) to learn about social issues, challenges, and opportunities facing the Green Bay area, get exposure to relevant leadership education and skills, and become community stewards. Each monthly gathering has a specific focus (from local government to education to the economy), and learners are immersed in a full-day interactive lesson that includes guest speakers, team-building exercises, and networking. The program culminates by participants organizing into teams, identifying social or public opportunities, and working on community projects that are designed to raise awareness of an issue, improve team skills, and effect change. All UW-Green Bay employees are eligible to express interest in being considered.  Supervisors are also encouraged to nominate employees for participation in this program. If nominating an employee, please notify this person to determine if they are willing to participate before submitting.  After the deadline, one employee will be selected by institutional leadership, and will asked to complete the application materials representing UW-Green Bay.

In order to express interest in participation, or to nominate an employee, please complete the Interest Form. This form should be filled out and signed by the employee, their supervisor, and the Dean/Division Head (if applicable).  Completed forms must be received in the Human Resources office by Friday, March 31, 2023 for full consideration.

Reminder: March 31 Deadline for 2022 Flexible Spending Account Claims

A Flexible Spending Account (FSA) allows you to be reimbursed for certain out-of-pocket expenses with tax-free dollars. Since these are spending accounts, the money should be spent. Eligible expenses include:

  • Medical (post-deductible only if you are also in the HDHP and HSA)
  • Dental
  • Vision
  • Dependent Day Care

To be reimbursed from your 2022 Health Care FSA, you must have incurred eligible expenses by December 31, 2022. Expenses must be submitted and substantiated by March 31, 2023.

The most efficient way to submit your eligible expenses for reimbursement is electronically by using the Optum mobile app or website. The links are below:

Remember to include the required IRS supporting documentation with your submission. Optum will contact you directly for additional information, if necessary.

Carryover Reminders

Up to $570 of unused funds in a Health Care FSA will carry over from 2022 to 2023 on/around April 15, 2023. Unused funds greater than $570 will be forfeited. The IRS does not allow carryover for the Dependent Day Care FSA.

Summer Prepay Insurance Premium Deductions

Summer prepay insurance premiums are deducted from spring paychecks to cover the cost of continuing insurance coverage through the summer months (contract break) and are in addition to regular biweekly insurance premium deductions.

Faculty and certain other employees will have summer prepay deductions for insurances if:

  • Their academic (9 month) or annual (12 month) contract does not include work during one or more summer months; and
  • They are expected to return to benefits eligible employment on or before the start of the fall semester; and
  • They are eligible to maintain insurance coverage through the summer months.

Employees scheduled to have summer prepay deductions will receive monthly emails with estimated deduction amounts.

Signature & Cultural Events Coordinator

This position reports to the Director of Student Engagement and is responsible for the planning and preparation of University Commencement ceremonies and Graduation Resource Fair each semester and monitoring the budget for all four UWGB campuses (Green Bay, Marinette, Manitowoc, and Sheboygan). This position will also lead and coordinate culturally focused programs such as Hispanic Heritage Month, Black History Month, and other key cultural programs. This position will be responsible for facilitating programming that supports the University’s goals regarding Equity, Diversity and Inclusion. This position will work, in collaboration with others, to create a safe and inclusive environment for all UW Green Bay students where all feel a sense of place and pride.

Provides subject matter expertise in the development and execution of programs within the scope of student learning and development. Organizes the facilitation and development of curriculum design for on-going and new educational initiatives. Strives to create a welcoming, equitable, and inclusive work environment.
