Distance Education & Academic Technology Specialist – Open to UW System Employees Only

This position reports to the Senior Media Specialist and is responsible for providing operational and technical support for distance education classes, video and web conferences and lecture capture technology.  This position also provides for support of classroom instructional technology, including equipment setup and operation university wide for special projects and events.

Environmental Health Specialist

This position reports to the Assistant Vice Chancellor for Policy & Compliance and develops policy and serves as the primary campus resource for the following risk management activities: occupational health and safety, workers compensation, environmental safety, and hazardous waste management. This position serves as primary campus liaison with relevant UW System, State and federal agencies, as well as other safety managers at colleague institutions.

Police Dispatcher (Two Vacancies)

This position reports to the Administrative Sergeant and serves as a first point of contact for University Police and University Parking, in a primarily non-emergency capacity. This position will operate computer and radio equipment and coordinate non-emergency police response in a 24-hour setting to ensure safety and security on all institutional properties. Assists in maintaining and updating departmental records and data entry. Receives and processes issues via phone or walk in that can range from true emergencies to non-emergency information requests and the dispatcher shall be capable of directly handling the issue, or efficiently summoning the needed and appropriate resources. This position will not receive 911 calls, but must be capable of transferring or dispatching officers appropriately should an emergency call come in and/or summoning officers for walk in incidents. Knowledge of the University of Wisconsin-Green Bay campus, the departments, and the services those departments offer will be helpful in this position.

Performance Evaluations: Non-Instructional Academic Staff & Limited Employees

As we begin a new fiscal year, it is time for annual performance evaluations for Non-Instructional Academic Staff & Limited Employees. Annual performance evaluations are a key component to employee performance and development. The objectives of annual performance evaluations are to provide all employees and their supervisors an opportunity to:

      • Discuss job performance
      • Set goals for professional development
      • Establish objectives for contributing to the department’s mission
      • Discuss expectations and accomplishments
      • Discuss career progression eligibility

Non-instructional academic staff and limited employees and their supervisors should begin the performance evaluation process for the prior fiscal year (July 1, 2019 – June 30, 2020) as soon as possible. Please follow the procedure outlined on the Performance Evaluation Narrative Form, submitting the completed evaluation to the area leader’s office no later than Friday, August 28, 2020. Please note – An annual performance evaluation is not required for individuals hired after July 1, 2019 if a six-month evaluation has already been completed.

Part of the performance review process should be a discussion regarding changes in position responsibilities, appropriateness of the assigned title, and the eligibility towards career progression if employees are in a progression series title.

Per the UW-Green Bay Compensation and Pay Plan Policy, compensation adjustments must be based upon merit and employee performance.  Therefore, any future pay adjustments will be contingent upon satisfactory performance.

Workplace Expectations Update Regarding Meetings and Events

As you are returning to your on-campus workplace, please ensure that you have reviewed the Employee Workplace Expectations for July 1, 2020 – August 31, 2020 and completed the electronic acknowledgment form.  At this time, there are a few updates to the Phoenix Forward: Return to Workplace Plan regarding meetings and events on campus.

Meetings Update
Convening in groups increases the risk of viral transmission. It is recommended that no more than three (3) individuals engage in any face-to-face communication if it is expected to exceed 30 minutes. Whenever possible, meetings should be held virtually in whole or in part by using available technology. While on campus, consider communicating with your colleagues and supervisors as needed by email, instant message, telephone, or other available technology rather than face-to-face.

In-person meetings should only occur when no other options are available. During any face-to-face communications, personnel must adhere to not less than six feet of separation between participants. Under no circumstance should any room exceed 50% of its total capacity. Common Conference Rooms are not available for reservations at this time. If one of these rooms must be used to facilitate required physical distancing for a face-to-face meeting, the request should be made to Facilities Planning & Management:

Departments requesting use of these areas will be responsible for physical distancing practices among attendees. The Department will be responsible for all preparations, including disinfection using materials provided as well as disinfection at the end of use.

Office Events/Common Dining
Office events which include participants from outside the University and involve more than ten (10) people or encourage the gathering of individuals for more than 30 minutes, will not be permitted until further notice. Events involving common food or beverage service should not be held and employees should avoid participating in common dining.

FSA and Dependent Day Care Account Change

Mid-Year Changes

Typically, outside of Annual Benefits Enrollment, the IRS requires a qualifying life event (e.g. marriage, birth of a child, etc.) to make a change to Flexible Spending Accounts (FSA) and Dependent Day Care Accounts.

Due to the COVID-19 pandemic, the Group Insurance Board has approved the flexibility granted by the IRS to allow a mid-year change to either of these accounts without a qualifying life event.

From July 1, 2020 until August 31, 2020, if you are currently enrolled in a FSA and/or Dependent Day Care Account, you have a one-time opportunity to increase or decrease your annual contribution.

    • IncreasesAllowed up to the maximum of $2,700 for health care FSA and $5,000 for dependent day care. The increased amount may be used for any eligible expense(s) incurred in 2020, even those that occurred prior to your new election.
    • DecreasesYou may only decrease your annual contribution amount to no less than what you have already contributed or spent year-to-date, whichever is greater.

Any change made is effective the first of the month following receipt of your change request form.

Increased Healthcare FSA Carryover

Additionally, the Group Insurance Board approved a $50 increase to the amount you may carryover for healthcare FSA effective January 1, 2021. You may carryover up to $550 from the 2020 plan year to the 2021 plan year. No action is necessary on your part to take advantage of the increased healthcare FSA carryover amount.

How to Make a Mid-Year Change

To make a change to your FSA and/or Dependent Day Care Account, complete an Election Change Request Form. On the form, in step 3, check “COVID-19” as the reason for your change. Then, submit the form by September 1, 2020 to UW-Shared Services, Service Operations:

Additional Information

There were items discussed during the June 29, 2020 Group Insurance Board meeting that allowed additional flexibility for benefit plans offered through the Department of Employee Trust Funds (ETF). Some of these items are:

    • health plan enrollment changes,
    • an extended timeframe to submit 2019 FSA claims and
    • extended timeframes for COBRA continuation administration.

ETF did not recommend proceeding with these additional items due to low interest and the administrative challenges and complexities with the vendor change from TASC to ConnectYourCare.

Phoenix Rise Virtual Run/Walk held June 26-28

Congratulations to those who participated in the Phoenix Rise Virtual Run/Walk last weekend!  It was a hot one.  There were 36 people who walked or ran, including 7 UWGB alumni, 14 students, and 15 employees!
