Important Year End Leave Information for University Staff

As we near the end of the 2017 calendar year, University Staff employees are reminded to review their leave balances.

Vacation Carry Over
Normally, vacation time must be used within the calendar year during which it is earned.  Employees may carry over any unused earned vacation into the following calendar year.  Any vacation carried over from the previous calendar year must be used by December 31 of the following calendar year.

The Human Resources System (HRS) will automatically take any vacation absences entered first from carry over balances before taking from the current year’s allocations.

Compensatory Time
Compensatory time is able to be carried into the following calendar year if approved by the immediate supervisor.  If carried over, unused compensatory time must be used by April 30th of the following year or it will be paid out on the pay period that includes May 1st.

Personal and Legal Holidays
Personal and Legal holiday hours may not be carried into 2018 and if not used by December 31, 2017, will be forfeited.

We have two floating legal holidays this year, for Christmas Eve and New Year’s Eve.  Your legal holiday balance includes both observed and floating legal holidays.  The remaining observed legal holidays this calendar year include Thanksgiving and Christmas.  You can take your available “Legal Holiday Balance-YTD” and subtract these two observed legal holidays to see if you have any floating legal holiday hours left to use.

Annual Leave Conversion Option (Banked Leave or Sabbatical)
Forms for employees eligible for the Annual Leave Conversion Option will be available soon on your My UW System Portal, under the Time and Absence section, Leave Reports tab.  We will post a notification when these forms are available.

Please note that the above information applies to University Staff positions, not Academic Staff, Limited, or Faculty positions.

How do I check my paid leave balances?  Please review page three of these instructions.

Please contact the Payroll & Benefits office at 920-465-2390 or payrollandbenefits@uwgb.edu if you have any questions.

Annual Reminder – Review and Update Personal Information

Employees are able to update their personal information independently by going through the UW System Portal.  Annually, we request that employees review their personal information to ensure accuracy (address, phone number, emergency contacts, martial status, ethnicity, etc.).

In addition, federal regulations passed in March 2014 require employers to periodically invite employees to self-identify their veteran and disability status. Please view the FAQ document for additional information related to this request. Self-identification information is confidential and will be kept confidentially as part of your employee record in HR. Identifying as a person with a disability in the portal does not initiate an accommodation request. If you would like to request an accommodation for a disability, please see the Procedures for Determining Reasonable Accommodations in Employment.

Instructions for updating personal information in your portal:

Step 1: Log into the My UW System Portal

Step 2: Click on the box titled “Personal Information”

portal

Step 3: Review address detail, disability status, veteran status, and ethnic groups by individually clicking view/update in your portal. Each link will take you into HRS to view and update your information.

Step 4: Click your name in the upper right hand corner and click “logout”.  You have completed the review/update!

October is National Disability Employment Awareness Month

2017PosterEnglishFront

Welcoming the talents of all people, including those with disabilities, is a critical part of our efforts to build an inclusive community at UW-Green Bay. In this spirit, UW-Green Bay is proud to support National Disability Employment Awareness Month (NDEAM). Held each October, NDEAM aims to educate about disability employment issues and celebrate the many and varied contributions of workers with disabilities.  This year’s theme is “Inclusion Drives Innovation.” The Office of Disability Employment Policy (ODEP) created this year’s theme with input from a wide variety of its partner organizations, including those representing employers, people with disabilities and their families, and federal, state, and local agencies.

The history of National Disability Employment Awareness Month traces back to 1945, when Congress enacted a law declaring the first week in October each year “National Employ the Physically Handicapped Week.” In 1962, the word “physically” was removed to acknowledge the employment needs and contributions of individuals with all types of disabilities. In 1988, Congress expanded the week to a month and changed the name to National Disability Employment Awareness Month.

Current UWGB employees or applicants for employment with disabilities are encouraged to review campus procedures for reasonable accommodation. Please contact Human Resources via email or phone at (920) 465-2390 for additional information.

For specific ideas about how UW-Green Bay employees can support National Disability Employment Awareness Month, visit www.dol.gov/ndeam. We all play an important part in fostering a more inclusive workforce, one where every person is recognized for their abilities every day of every month.
