Human Resources System (HRS) Upgrade Completed

The upgrade to the Human Resources System (HRS) which caused an outage that affected your My UW System Portal from Wednesday, February 22nd to Monday, February 27th, has been completed.  You can now access all the features in your My UW System Portal as before.  Thank you for your patience!

You will notice some updates and a little different look, but the functionality is the same.  The UW-Service Center notified us that there are some issues with approvers having difficulty accessing employee’s timesheets today, but an overnight process will run tonight, which should resolve these issues.  If you have any issues on Tuesday, February 28th or after, please contact us at hr@uwgb.edu or ext. 2390.

Volunteer Opportunity: Gourmet Wishes Event to Benefit Make-A-Wish Wisconsin

The annual Gourmet Wishes event to benefit Make-A-Wish® Wisconsin will take place on Thursday, June 8, 2017 at the KI Convention Center in Green Bay.  It is a wonderful evening with nearly 40 of the area’s finest restaurants, bakeries and beverage companies who participate and serve their best. There will also be an impressive silent and live auction, inspiring program featuring local wish children & much more!

We need the help of MANY volunteers the day of the event to assist our light company in getting all their equipment to and from their trucks. This is not hard or heavy work, it just requires a lot of walking and pushing carts. We need volunteers from 8 a.m. – 12 p.m. as well as from 8 p.m. – 10:30 p.m.

Your support will help us reach our important goal of granting a life-affirming wish for every medically qualified child!  We are currently on pace to grant at least 380 wishes this year – more than a wish a day! The gift of a wish has a profound impact on the children we serve and their families.  For many, their wish marks a turning point in the fight against their illness!

Annual On-Site Health Screening Registration Open

Making the choice to get a health screening gives you a snapshot of your overall health. Discover your numbers at this free health screening which is available to employees and their spouse/domestic partner who are enrolled in the State of Wisconsin Group Health Insurance Program.

On-Site Health Screening:

Date: Wednesday, April 26, 2017

Time: 7:30 a.m. to 2:00 p.m.

Location: University Union, Phoenix Room

Complete two easy steps by October 20, 2017 to earn the $150* Well Wisconsin incentive.

Step 1: Get your 2017 health screening

To register online for your on-site health screening appointment:

  1. Log in to wellwisconsin.staywell.com
  2. Click on Programs tab
  3. Click on “Learn More” in Screenings box
  4. Click on Register Now
  5. Select the time for your appointment

Here are some details about the on-site health screening…

  • You’ll be in and out in 20 minutes
  • Screening includes measurements for blood pressure, body mass index (BMI), cholesterol (HDL, LDL and Total), triglycerides and glucose
  • Fasting is not required, but is highly recommended for more accurate results
  • Screening completion will be displayed in the StayWell wellness portal within two business days. Your results will be automatically uploaded to your profile within 10 business days of your screening
  • On-site health screenings are confidential, free and voluntary
  • This on-site screening is available to employees and their spouse/domestic partner who are currently enrolled in the State of Wisconsin Health Insurance Program.  Your spouse/domestic partner can also register online using the above steps to sign up for an appointment and complete the assessment.

What if I can’t make it that day?

If you are unable to attend an on-site health screening you may use results obtained from your health care provider by submitting a Health Care Provider Form. The Health Care Provider Form can be found at wellwisconsin.staywell.com on the home page. Click on the Health Screening Options block and download the form.

Step 2: Complete the StayWell health assessment** at wellwisconsin.staywell.com.  It takes about 10 minutes and is mobile and tablet friendly!  Just click on “Assessment” after logging in.

* Those enrolled in Humana’s Medicare Advantage plan or have a postal address outside of the U.S. are not eligible to receive the $150 incentive. The $150 incentive is treated as taxable income and will be reported to your employer.

How to Make Kombucha Lunch ‘n Learn

Jolene Sell, Registered Dietitian with Charwells, will present a lunch ‘n learn on Wednesday, March 22nd on How to Make Kombucha!  Kombucha is a fermented tea drink typically made with tea, sugar, bacteria and yeast, which may provide health benefits.

Kroc Center Lunch ‘n Learn about Nutrition and Fitness

Did you know that UW-Green Bay is part of the Corporate Connections Program at the Kroc Center in Green Bay?  That means that UWGB employees can enjoy 15% off monthly membership costs, a free two week trial membership, and a waived registration fee.  The Kroc Center offers a fitness center, aquatics center, gym with indoor track, group fitness classes, swim lessons, art and music classes, youth dance lessons, senior classes, youth day camp, and an after school program.  Laurel Parins from the Kroc Center will present this Lunch ‘n Learn to not only share information about the Kroc Center, but also provide helpful information about nutrition and fitness!

Nutrition: Nutrition plays a key role in your overall health, including risk reduction and disease prevention. We will learn about:

Community Supported Agriculture (CSA) Available to UWGB Employees

Thank you to Suzi Sevcik of Sleepy Hollow Farm & CSA for visiting UW-Green Bay on February 7th to share information about Community Supported Agriculture (CSA)! CSA is a partnership between a farm and a local community of supporters that provides a direct link between the production and consumption of food. CSA members cover the farm’s operating cost by purchasing a share of the harvest. This provides members with a healthy supply of locally grown, seasonally fresh produce during the growing season.

Sleepy Hollow Farm & CSA is a small, farmer owned farm in Kewaunee County. They specialize in growing a variety of veggies using sustainable farming practices, and no chemicals, herbicides or pesticides touch your food.  The 2017 summer shares will last for 10 weeks – from mid-July to September.  For more information about CSA’s or to sign up for Suzi’s CSA (that may be delivered to campus again this year if enough people sign up), please visit the Sleepy Hollow Farm & CSA website at http://www.sleepyhollowfarmcsa.com/.  Don’t wait to sign-up – Suzi has a limited number of spots which fill-up quickly!

Human Resources System (HRS) Outage Started February 22, 2017 Employee Access Is Affected

Employees do not have access to their online timesheet, earnings statements and other related documents and services during a UW Human Resources System (HRS) outage that started on February 22, 2017 at noon. This outage will continue until a to be determined time on Monday, February 27.

The following self-service features that employees access through the MyUW portals, will be unavailable during the outage:

  • Online timesheet
  • Absence reporting
  • Web Clock
  • Benefits Self-service (‘e-Benefits’)
  • Updates to personal information
  • Access to electronic earnings statements, tax statements (W-2, 1042-S, etc.), leave statements and other HR, Payroll and Benefits documents.

The rest of the portal, with the exception of the HRS System related features and documents, will be available during the HRS outage.

Once the HRS System is upgraded, employees will experience the same functionality that they are currently accustomed to. The upgrade will have minimal impact on system users.

The HRS System manages UW Human Resources, Payroll and Benefits processing for all UW System institutions.  The system is currently running on PeopleSoft’s Human Capital Management software version 9.0. The upgrade will move the system to version 9.2.

1095-C Forms Available Online

IRS Tax Form 1095-C is available online in the MyUW portal.  Log into the portal for UW System institutions. The statement is located in the Payroll Information module under the Tax Statements tab. Paper copies of the 1095-C were mailed to employees via U.S. mail in February 2017 using the same address as the W-2 Form distribution.

The UW System is providing Form 1095-C to all employees who were full-time, as defined by the Affordable Care Act (ACA), for all or some months of 2016. The information on this form will be used by the IRS to determine whether individuals and/or employers are subject to penalties under the ACA’s individual and employer mandates. Employees should retain Form 1095-C with their tax records.

In addition to Form 1095-C, some employees will receive a Form 1095-B from their insurance carrier. Form 1095-B reflects health insurance coverage provided to an employee or their family member(s) during the previous calendar year. Form 1095-B also documents employee compliance with the ACA Individual Mandate. Employees should retain Form 1095-B with their tax records.
