2023 Outside Activities Reports (OARs) – Access for online completion begins April 1, 2024

Each year, all faculty, academic staff, and limited appointees with appointments of half-­time or more are responsible for reporting Outside Activities (according to Board of Regent and UW System guidelinesUWS Chapter 8.025, and the Wisconsin Administrative Code).

Additionally, we ask University Staff to read the Code of Conduct (RPD 20-22) and all employees to read the policy on Employee Relationships with Educational Loan Lenders RPD 13-4.

Similar to past years, requests and notices will come to employees from UW-Shared Services (serviceoperations@uwss.wisconsin.edu), and eligible employees will submit their OAR form online through their My UW Portal.

On April 1, all employees required to submit an Outside Activity Report (OAR) received a message from UW System with instructions to complete the OAR. The OAR will need to be completed by the employee and approved by the supervisor. Following the initial notice, employees will receive reminders throughout the month.

The Code of Conduct and Employee Relationships with Educational Loan Lenders policies will also be delivered to your mailboxes from uwsytemhr@uwss.wisconsin.edu during the month of April with a reminder to familiarize yourself with these policies.

Meet your Facilitator: Dr. James Thomas

Dr. James Thomas began his career working in higher education over a decade ago as a graduate student. James started off his career in higher education in the division of Student Affairs and Enrollment Management as an advisor of a mentoring program that assists minority students in navigating their way through college. Additionally, James has served as a coordinator of a service-learning program which generates over 1000 hours of volunteer hours each semester through facilitating volunteer opportunities for students in their local community. Throughout the experience in higher education, James developed a passion for student mentorship, development and success. In 2016, James transitioned into an academic role in the arena of Academic Affairs, serving as a lecturer/professor for the last six years.

With experience of serving in several higher education roles, James has experience in topics of diversity and inclusion, civic and community engagement, social justice/advocacy, and mentorship for student success. James also has experience in community organizing, with an emphasis in relationship building within communities and resource allocation. Additionally, James has experience in the field of research exploring the health behaviors and disparities of college students and minority populations. As a public health professional, James uses research as an advocacy tool to close the gaps in health disparities and to build cultural competence in the health field.

James received his Bachelors (’13) Masters (’15), and Doctorate (’21) in public health from Georgia Southern University.

Mandatory Employee Training Month Starts March 1st!

On March 1, 2024, employees will start receiving emails related to the mandatory training courses that they are required to take during the month of March.

Recurring courses facilitated by UW-Shared Services include Information Security Awareness (required annually) and Sexual Harassment (Title IX)  (required every three years). Invitations for these courses will come from serviceoperations@uwss.wisconsin.edu.

Campus Security Authority (CSA) and Responsible Employee (RE) training will be the only training coming from UW-Green Bay via Instructure Canvas (notifications@instructure.com) with the subject line “Course Invitation”. This training is only required of individuals who have been designated through their position description and/or provide advisement to a student organization.

Individuals who completed these required training(s) in January or February 2024, will not be required to take the training until March 2025.

All trainings are required to be completed by March 31, 2024, in accordance with SYS 1293, Mandatory Employee Training. Both SYS 1293 and the UW-Green Bay Compensation and Pay Plan Policy indicate that in order for an employee to be eligible for any compensation adjustment, including the approved pay plan effective July 1, 2024, they must be in compliance with all required trainings by the deadlines noted in UW policy.

Mandatory Employee Training Completion Required during March

As a reminder, Mandatory Employee Training (MET) refresher courses are now required to be completed by employees in March of each year. Refresher courses will include Information Security Awareness required annually and Sexual Harassment (Title IX) required every three years. Mandated Reporter will continue to be assigned at the time of hire with no requirement of retraining. Notification emails will come directly from UW Shared Services starting on March 1st.

In an effort to align training schedules, the UW-Green Bay Campus Security Authority (CSA) and Responsible Employee (RE) training will now also be conducted during the month of March each year. Only individuals who have been designated through their position description and/or provide advisement to a student organization will be required to complete this training course. Employees required to take the training will be enrolled and receive an email from Instructure Canvas (notifications@instructure.com) with the subject line “Course Invitation”.

Farewell to Megan Noltner

The Office of Human Resources wishes the very best to Megan Noltner, who will be leaving UW-Green Bay on February 21st. Megan initially joined the HR Office at UW-Green Bay in August of 2017 in a temporary role as Payroll and Benefits Specialist, and then was hired into an ongoing role in June of 2018 as a Human Resources Specialist. Since that time, Megan has been a key leader within the HR Office in the areas of employee relations, policy, compliance, performance management, and Title IX. We will greatly miss her deep expertise, strong communication skills, and ability to build bridges across the campus community. Megan will be transitioning to an HR Generalist position with the Village of Ashwaubenon. We wish Megan the best in her new position and hope she will keep in touch with her many colleagues and friends across the campus community!

Megan’s last day at UW-Green Bay will be Wednesday, February 21st and will be in the office that day if you would like to stop by to say farewell. We extend our sincere thanks to Megan for her dedicated years of service to UW-Green Bay. She will be missed!

Farewell to Jolene Truckenbrod

With mixed emotions, we announce the upcoming departure of Jolene Truckenbrod, HR Coordinator. Jolene joined the HR Office at UW-Green Bay in February of 2007. During her tenure at UW-Green Bay, she has served in a number of roles, most recently working with HR Systems and payroll/benefits. Jolene will be transitioning to a Benefits Specialist position with the Universities of Wisconsin Benefits Counseling Team, providing benefits support to faculty and staff across the UW. With warm regards, we wish Jolene great success in her new position and look forward to working with her in her upcoming role at UW!

Jolene’s last day at UW-Green Bay will be Friday, January 26th, and she will be in the office both January 25th and 26th if faculty/staff would like to stop by to say farewell. We extend our heartfelt thanks to Jolene for her years of service, and honor her dedication to cheerfully and compassionately enhancing the employee experience for faculty & staff at UW-Green Bay!

Announcing Recruitment Process Updates

The Office of Human Resources and Workforce Diversity is excited to announce updates and improvements to the recruitment process in response to the Chancellor’s Mission Alignment exercise, as well as the anticipated implementation of Workday in July, 2025. The intent is to reduce the workload for recruitment chairs, panels, and committees, increase communication, and effectively collect required documentation throughout the process. Changes are summarized below:

  • Simplified recruitment checklists which provide best practices and helpful links for easy access.
  • Reduced the number of recruitment forms to avoid duplicative efforts.
  • Updated forms to provide more detailed instructions.
  • Developed two reference check survey options (one for faculty and instructional academic staff and one for all other employee classifications) which are currently in use and receiving very positive feedback.
  • Centralized compliance documentation initiation through HR (I-9, CBC, SHRC).
  • Updated offer letter language to ensure compliance.
  • Authorization to Extend Offer form has transitioned to BP Logix to allow for streamlined approval and documentation

The Recruitment Procedures and Recruitment Resources webpages have been updated with all of the revised forms. As recruitments are initiated, the HR Talent Team will hold recruitment process meetings with the chairs and their admin support to go through these changes. We are confident these improvements will streamline our recruitment process as we move forward and set us up well for the transition to Workday in July, 2025.
