A good leader creates a work environment in which people feel appreciated and motivated.  When you recognize people effectively, you reinforce the actions and behaviors you want to see employees repeat, and promote an energized productive team!  During Employee Appreciation Week, we encourage you take a moment and show your appreciation towards a fellow co-worker, supervisor, or other staff member. Here are some ideas:

For Employee Appreciation Week:

  • Encourage all of your employees to take part in Employee Appreciation Week activities, including “Team Building Thursday”.
  • Send an e-mail, give a card, or post a note on the door of your employees thanking them for their hard work and contributions to UW-Green Bay.
  • Recognize employee achievements publicly, at a team meeting or on your department website.
  • Call an employee to your office to thank them (don’t discuss any other issue).
  • Bring treats or take your team out to lunch.
  • Make a banner to hang in your office or decorate an office bulletin board in recognition of your employees.

All year:

  • When you hear a positive remark about someone, repeat it to that person as soon as possible (Face-to-face is best, e-mail or voice mail are good in a pinch).
  • Hold monthly team meetings to discuss ‘big-picture’ goals and ‘day-to-day’ projects.  Evaluate a completed project and share what went well and what can be improved on.  Acknowledge individual and team accomplishments.
  • Empower your employees – ask them to lead a project, run a meeting, and represent your team on a committee or at an event.  Give special assignments to people who show initiative.
  • Look for opportunities for your employees to benefit from cross-training and professional development.
  • Establish a place to display memos, posters, photos and so on, recognizing progress towards goals and thanking individuals for their help.
  • Write a letter of praise recognizing specific contributions and accomplishments of your employees.  Share it with their next level supervisor.
  • Set achievable yet challenging goals for your team, measure progress, report results, and recognize their success.
  • Listen.  Great communicators listen more than they speak.  They ask questions to draw out the knowledge and opinions of their team, and team members feel affirmed that their opinion matters and they are valued.
  • Ask for employee’s ideas – even “pie in the sky” ideas.  Instead of rejecting a new idea or approach, pause and consider the possibilities. Consider what might work rather than what won’t.
  • Practice positive nonverbal behaviors that demonstrate appreciation, such as smiles or a handshake.

Important Year End Information for Student Supervisors

STUDENT REHIRE PROCESS
It’s time to have a conversation with your students about their plans to continue working for Summer 2017 and/or Academic Year 2017-2018. Student supervisors received their Student Rehire Spreadsheet on Monday, April 24. As a reminder, those spreadsheets are due back to Human Resources (hr@uwgb.edu) by Friday, May 5, 2017.

GRADUATING OR STUDENTS NOT CONTINUING

The last day of work for graduating seniors and those not returning for the Fall Semester is May 12, 2017. This applies to all student employees, work study, or regular. If your student employee is graduating or will no longer be enrolled, you may have the option to hire them as a University Staff Temporary (UST) employee. All UST requests have to be approved by leadership before hire. Please contact Human Resources with any questions about this process.

If your student employee is graduating, HR will end their appointment. If your student employee is not returning for any reason besides graduation or their position is changing, please complete a Student Hourly Employment Form, select the appropriate action from the top dropdown (row 6), and complete the necessary information.

OTHER IMPORTANT DATES

July A Pay Period (June 25, 2017 – July 8, 2017): Student Hours Limit of 20 hours for these two weeks

Tuesday, September 5, 2017: First day of classes for the 2017 Fall Semester

SUMMER ACA HOURS LIMITATIONS

As a reminder, the Student Payroll Calendar outlines weekly hour limits.  During summer break, starting with the May B pay period (5/14/17-5/27/17), departments may allow students to work up to 40 hours per week.  As outlined on the calendar, the July A payroll (6/25/17-7/8/17) does have a weekly limit of 20 hours.  Note that the 25-hour per week limit for the academic year resumes with the September A payroll period on 8/20/17.

FEDERAL WORK STUDY (FWS) BALANCE REPORTS

These reports are sent bi-weekly via email to students with an FWS award. This email contains FWS amounts and balances. Ask your FWS student employee(s) to provide you with these emails as a way to monitor award balances.  Monitoring FWS balances will assist you when scheduling hours and help avoid exceeding a student’s FWS award.

SUMMER WORK STUDY

Limited Work Study funding is available for students that complete a summer financial aid application at www.uwgb.edu/financial-aid/forms/summer.aspPlease note: Students do not need to be enrolled in summer courses to be eligible for Work Study funds; however, students must maintain adequate enrollment for Fall 2017.  As always, changes in credit load may impact financial aid eligibility.  Summer Work Study will begin on May 14, 2017.

ADVERTISING OPEN STUDENT POSITIONS

Open positions should be posted in the Phoenix Recruitment Online (PRO) site.  Jobs can be submitted by completing an online form or by following the instructions found on the Student Employment website: http://www.uwgb.edu/student-employment/employers/post-pro.asp

EARNINGS STATEMENTS & W-2 FORM

Earnings statements are available to all current student employees through access to the My UWGB Portal at http://my.uwgb.edu and can be accessed at any time, from any computer that has an internet connection.  To login, the student will need to select UW-Green Bay, and then enter their UW-Green Bay user ID and password.  Access to the portal is tied to employment, thus, if employment ends, so will access to the portal.

2017 W-2 Forms will be sent to the student’s home address, and a copy will be available in the portal at the end of January 2018. Please have your students review their personal information on the portal. If the address listed is incorrect, please have your student change it in the portal. If you need further assistance, notify payrollandbenefits@uwgb.edu before the end of the year.

Events Coordinator (Open to UW System Employees Only)

This position reports to the Kress Events Center Director of Operations and is responsible for the leadership, day-to-day management and administrative direction in scheduling all activities and supporting all events held at the Kress Events Center and affiliated outdoor facilities, including University and non-university organized events.  This position also works cooperatively with other professional staff and students in accomplishing the operational, programmatic, service and student development goals along with supporting the departmental strategic initiatives.

Financial Specialist – Lead Cashier

This position reports to the Bursar and is responsible for coding, documenting, and reconciling financial transactions related to receipt of cash, checks, credit cards, and other electronic payments.  This person provides friendly, helpful customer service to customers at the Bursar’s cashier window.  They also serve as the lead worker, overseeing the training and daily activities of seasonal cashiers.

Development Officer for Annual Giving

This position reports to the Vice Chancellor for University Advancement and President of the UW-Green Bay Foundation. The Development Officer for Annual Giving plans and implements a comprehensive annual giving program in support of UW-Green Bay. The annual giving program solicits charitable contributions through personal visits, Phone-A-Thon calls, direct mail and email appeals, and promotion of online giving and crowdfunding initiatives.

Auto and Truck Mechanic (60% Project Appointment)

This position reports to the Grounds Supervisor. The Auto and Truck Mechanic performs mechanical repairs and maintenance on all grounds equipment and vehicles. This position will communicate with Grounds customers about their vehicle, schedule timely repairs, keep accurate records of repairs, and keep a schedule for preventative maintenance that needs to be performed on equipment.
