University Services Associate 2 – Natural and Applied Sciences/Human Biology

The University Services Associate reports to the Department Chairs of the Human Biology (HUB) and Natural and Applied Sciences (NAS) and this position is responsible for primary administrative and office support for the units of HUB and NAS. This position is responsible for managing the office functions for both HUB and NAS. Other responsibilities include providing backup budgetary support for these academic units as needed.

This position includes the following responsibilities:

  • Provide primary administrative support for all faculty, staff and department chairs in HUB and NAS.
  • Represent the office of the chair with a wide variety of NAS and HUB related clientele.
  • Establish policies and procedures to ensure effective coordination of workflow.
  • Type confidential and sensitive correspondence.
  • Compose, sign, and distribute letters and memos.
  • Conduct specialized projects for the chair.
  • Oversee and coordinate communications with internal and external customers.
  •  Independently follow up and respond to issues and requests which do not require the department chair’s direct attention.
  • Serve as the contact person for administrators seeking information and assistance.
  • Organize, plan, and arrange a variety of professional meetings, conferences, seminars, etc.
  • Coordinate recruitment and hiring efforts.
  • Assist with coordination of annual Mathematical Competition within area schools.
  • Assist faculty and staff with classroom copying and duplicating requests.
  • Collect and maintain current program information and maintain curriculum forms.
  • Monitor HUB and NAS class waitlists and work with Registrar’s office in moving students off the waitlist and into open labs.
  • Update online surveys and collect assessment data for department chairpersons.
  • Maintain comprehensive and extensive knowledge of University rules and regulations.
  • Assist faculty and staff with preparation of materials for conferences and workshop.
  • Process faculty services requests for Media Resources or Facilities Management.
  • Schedule department field trips transportation needs.
  • Assist faculty and staff in HUB and NAS with hiring paperwork for student employees.
  • Serve as the office manager for NAS and HUB.
  • Order and maintain keys for HUB, NAS and related offices and labs.
  • Assist new faculty, ad hoc instructors, and graduate teaching assistants with setup of their offices, keys, nameplates, etc.
  • Make reservations for LS and ES conference room on EMS and post schedule, as necessary.
  • Perform general office duties.
  • Maintain and update HUB, NAS, and Dietetic Internship websites.
  • Act as resource person for all questions faculty and staff may have related to departmental functions.
  • Supervise student clerical staff.
  • Assist in computer and printing problem diagnosis and repair as necessary.
  • Submit monthly production reports for photocopy machine.
  • Post notice of canceled classes upon faculty request.
  • Oversee distribution of course evaluations.
  • Maintain a complete file of all active and inactive courses.
  • Prepare merit reviews, maintain all personnel files during yearly merit and retention reviews.
  • Provide backup support for budgetary functions and other functions as needed.
