Now Live: Performance Reviews in Workday

On Monday, July 28, 2025, UW System officially launched the new Performance Review process in Workday, and all supervisors are responsible for initiating a modified review for their direct reports which is due by October 31 for US/NIAS/LI roles, and November 21 for IAS

 

Why is this happening?

Since the most recent annual performance evaluations were completed in the spring, the process in Workday serves to document the FY25 review and prepare the system for future evaluations.  Below you will find basic information about this process; however, since the initial tasks in the system belong to supervisor roles, we strongly encourage all supervisors to participate in the learning sessions scheduled for August.  See “Learning Sessions” below.

 

✅ Who Needs a Performance Review?

At UW-Green Bay, all ongoing employees in the following categories must complete an annual performance review in Workday:

  • University Staff
  • Non-Instructional Academic Staff
  • Limited Appointees
  • Instructional Academic Staff 

Note: Faculty are not included in this initial launch. Their transition to Workday will occur at a later date.

 

📊 Rating Scales in Workday

The new system uses standardized rating scales across all UW campuses for Staff & Instructional Academic Staff as follows:

  • Failing to Meet Expectations
  • Partially Meeting Expectations
  • Meeting Expectations
  • Exceeding Expectations

 

👥 Employees with Multiple Jobs
Each employee will have one primary performance review. If they have more than one job:

  • The primary manager completes the review.
  • Other managers can provide feedback through a Workday task.

🧭 What Managers Need to Do

On their Workday homepage, supervisors will notice a task to set the initial content of their direct reports’ evaluation template. This task starts the process to set goals and responsibilities, send the goals and responsibilities to the employee to review, and enter the already-determined FY25 overall rating. The next full annual evaluation process will then be initiated in July, 2026. 

The specific task supervisors need to complete depends on two factors:

  1. Whether the employee you supervise is currently on probation
  2. The type of appointment your direct report holds (US, NIAS, IAS, LI)

 

⚠️ Important for Supervisors: Add Organizational Competencies

For US/AS/LI roles, and as part of the “Set Content” task in Workday, supervisors must include organizational competencies as one of the responsibilities in each employee’s review template. This step is required to ensure consistency and alignment with UW-Green Bay’s performance evaluation process.  Please review this video tutorial to learn how to complete this task:
