W-2 (Wage and Tax Statements) Now Available Online; to be Mailed by January 31, 2017

The 2016 W-2 Wage and Tax Statements are now available online in the MyUW portal. Your statement is located under the Tax Statements tab in the Payroll Information app. Paper copies of the W-2 will be mailed via U.S. mail and postmarked by January 31, 2017.

A printed Form W-2 from the portal is a valid document for tax filing. However, if you are filing a paper tax statement, you must write your Social Security number or Individual Tax Payer Identification number in the ‘a’ field at the top of each Form W-2 section. In order to increase the security of sensitive information online, any U.S. Social Security or Tax Payer Identification number has been removed from the online statements.

Additional Tax Forms to be Distributed

Some employees will also receive additional tax forms from the University (Examples: 1095-C, 1042-S, Fellowship/Scholarship Letter, 1099-Misc Form).

  • The 1095-C Form will be mailed via U.S. mail to employees in early February and available on the portal by mid-February.  All UW employees who were full-time for some or all months of 2016 will have a 1095-C form to document that health insurance coverage was offered to them.  Employees will need the 1095-C Form as part of their documentation requirement when filing 2016 taxes.
  • The 1042-S Forms will be available in the Glacier Online Tax Compliance System for those who chose the option of electronic delivery; others will have them mailed to their home address.  The 1042-S forms will be posted on the portal sometime in March.
  • The Fellowship/Scholarship Letter and 1099-Misc Forms will be mailed to your home address.

Filing Your Taxes

Please remember to use your W-2 Form, not your final 2016 Earnings Statement, to file your taxes. Some employees have had adjustments made to their 2016 taxable earnings since the last 2016 payroll was paid. These employees may have an additional earnings statement generated reflecting these adjustments. These adjustments will already be reflected on the W-2 Form that the employee receives.

The Internal Revenue Service (IRS) will begin accepting returns on January 23, 2017 for the 2016 tax filing season. To minimize your chance of a fraudulent return being processed using your Social Security number (SSN), or Individual Tax Payer Identification number (ITIN), you may want to consider filing a return as early as you are able and once you have received all necessary tax forms. More information is available on the IRS website.

Late February HR System Outage Will Affect Availability of Tax Forms on Portal

Please note that the UW’s Human Resource System (HRS) will have a multi-day outage towards the end of February in order to implement a technical upgrade of HRS.  During this outage all electronic statements on the portal, including the electronic copies of all tax forms, will be unavailable.  We anticipate that statement access will be restored when HRS comes back on-line on the morning of Monday, February 27th.  If you need an electronic copy of a statement during the outage, please contact Human Resources during normal business hours; we will be able to retrieve copies of your statements on your behalf.

Please contact Human Resources at 920-465-2390 or payrollandbenefits@uwgb.edu with any questions.

CSA Lunch ‘n Learn

Photo

Would you like to enjoy fresh-picked locally grown veggies and herbs delivered for you to UW-Green Bay each week? Please come to this Lunch ‘n Learn to find out more about CSAs!  Community Supported Agriculture (CSA) is a partnership between a farm and a local community of supporters that provides a direct link between the production and consumption of food. CSA members cover the farm’s operating cost by purchasing a share of the harvest. This provides members with a healthy supply of locally grown, seasonally fresh produce throughout the growing season.

Sleepy Hollow Farm & CSA is a small, farmer owned farm in Kewaunee County. They specialize in growing a variety of veggies using sustainable farming practices, and no chemicals, herbicides or pesticides touch your food. (For more information about Sleepy Hollow Farm & CSA, you can visit their website at: http://www.sleepyhollowfarmcsa.com/)

Presenter Suzi Sevcik has a lifetime of farm experience. From growing up on her parent’s dairy farm to now working the fields with her own farm. Using techniques that are kind to the earth to grow veggies, she takes the approach of never ending improvement. Trialing different varieties to see what grows well in their micro-climate, to constantly find better ways to grow veggies and manage weeds and pests. The mission always remains the same – To produce nourishing food that respects that land, and feeds our community and to exemplify a sustainable model for small-farm viability.  Suzi brought the shares right here to UWGB last year, once per week during the harvest season, so that it was convenient for employees to pick up, and plans to do the same in 2017!

Form I-9: Troubleshooting Access on Certain Browsers

When accessing the I-9 form from http://www.uwgb.edu/hr/forms/ or directly from U.S. Citizenship and Immigration Services at https://www.uscis.gov/i-9, you may experience issues with the form opening properly.  Below are suggested troubleshooting steps to open a fillable I-9 form.

The fillable I-9 form runs on the most recent version of Adobe Acrobat Reader.  Please be sure you have the most current version of installed on your PC and that you are using Internet Explorer.  If you are unable or prefer using a different Internet browser, you will need to follow the steps below to access the I-9 form.

Chrome

Go to https://www.uscis.gov/i-9.  After clicking on the I-9 link to open the form, there should be a dialogue box in the lower, left-hand corner of the screen that says “I-9.pdf open with ^.”  Click on the arrow and select “Always open with system viewer.”

This should fix the issue for any future attempts to open the form.

Firefox

From either one of the websites noted above, after clicking on the I-9 link to open the form, there should be a dialogue box that says “You have chosen to open.” Select the option “Open with Adobe Acrobat DC.”

As of now, it appears that the form will open by making this selection but will require you to follow the same steps for future attempts to open the form.

If you’re experiencing issues not noted here, please report those findings to Jenny Charapata, Human Resources Assistant, charapaj@uwgb.edu or extension 2326.

Winter Break Fitness Challenge – Week One

Great job to everyone who is exercising over winter break!  A total of 57 entries were submitted at the Kress Events Center from 28 employees who exercised there during week one of the Winter Break Fitness Challenge (January 2nd to January 8th).  Kristine Coulter’s slip was picked for the week one drawing, so she can select a Wellness prize.  Congratulations Kristine!  The Winter Break Fitness Challenge lasts through January 22nd, so keep exercising! 🙂

I-9 Form Compliance Training

Human Resources recently held three training sessions related to the updated I-9 form. There have been several changes, including new requirements on how to complete various parts of the form.  In order to remain in compliance with USCIS guidelines, most incorrect/incomplete I-9s must be returned to the department for editing and then returned to Human Resources before a new hire can be processed.

If you were unable to attend one of those sessions but would like to receive training, including how to access and complete the new “smart” I-9 form, please contact Jenny Charapata in Human Resources at charapaj@uwgb.edu  or 920-465-2326.
